Employment Opportunity:
The Academy of the Holy Names seeks a talented and energetic Database Assistant. This role reports to the Director of Advancement; assists the Director of Annual Fund & Special Events, Director of Alumni Relations, and the Director of Advancement. This is a full-time 12-month hourly position, Monday through Friday, with some weekend and evening assignments.

Position Summary:
The Database Assistant performs highly confidential and often complex administrative duties and must exhibit a high degree of computer literacy. The position requires proficiency in all Microsoft Office programs with an emphasis on Word, Excel, Publisher, PowerPoint; and Veracross. The position requires logical thinking and skill in manipulating data needed to craft queries in Veracross for various reports and mailings. This individual must be able to work independently and have excellent interpersonal, organizational, and communication skills. A high degree of flexibility and time management is required. The Database Assistant plays a vital role in the parent and alumni annual fund appeals as well as capital campaign and planned giving activities.

Responsibilities include, but are not limited to:

1. Through Veracross, the school's database system, is responsible for all data entry and gift management including, but not limited to pledge reminders and reports, thank you letters, stewardship coordination, and provides master gift validation report.
2. Processes online gifts through Veracross
3. Coordinates gift processing with Business Office
4. Updates Veracross with any constituent additions or changes ongoing throughout the year including updating Board of Trustees and other special committee members’ constituency codes and notes
5. Produces queries and exports from Veracross for mailings for Advancement appeals and publications 
6. Produces queries for call sheets for the Alumni and Phonathons; works all sessions of Phonathons providing data entry, emails online donation link, and creates thank you letters
7. Prints the training and solicitation materials for all Phonathons
8. Produces pledge reminders for all programs as needed
9. Generates general reports for the Advancement Office directors
10. Produces Advancement-related materials including scholarship letters and records; catalogs development resources material
11. Records Auction underwriters and patrons in Veracross
12. Produces the Class Notes, Births, Weddings and Sympathies sections of the Accord, the school magazine, in coordination with Alumni Director; helps edit Accord for accuracy
13. Assists in the production of the Honor Roll of Donors
14. Pulls reports for an annual audit
15. Assists at events as needed
